Weddings are wonderful opportunities to gather loved ones and friends from all over in one place. It’s an exciting time to see everyone and celebrate together, but coordinating everyone getting to and from the various locations for all the celebrations sometimes takes a little forward planning.

If you are getting married at Darby House or a similar-style venue where overnight accommodation is not offered on-site or nearby, planning for you and your guest’s transportation to and from the wedding is essential for a stress-free night.

To help you plan, we have created a list of different transportation options to help ensure your guests join the celebrations and still get home safely.

1. Professional Shuttle Services

Start your transportation planning by consulting a professional shuttle service with various vehicle sizes, like Columbus Coach, Xtreme Limo, or Cardinal Transportation. Companies like these offer options for you based on what size or seating capacity you are looking for in a shuttle. You can arrange shuttle rides for wedding parties and family members at set times for drop-off and pick-up or create a more detailed schedule, including guest transportation.

For couples who have specific room blocks at hotels in the area where most of their guests are staying, arrange a schedule for a shuttle to take guests to and from the venue at designated times before the ceremony and then during or after the reception at the end of the night.

2. Uber/Uber Vouchers

For a more budget-friendly option, Uber is an excellent alternative to traditional shuttle services, offering flexibility for your guests. Unlike fixed shuttle schedules, Uber allows guests to come and go based on their own timeline needs.

Purchasing Uber vouchers can be a thoughtful way to contribute to your guests’ transportation costs. For example, if you allocate $200 for transportation, you can offer 20 guests $10 vouchers each. This approach not only helps guests cover part of their ride but also adds a personal touch by taking care of your guest! It’s a cost-effective way to support your guests without needing a full shuttle service, providing flexibility while helping with transportation expenses.

3. Organizing rideshares/carpooling

Organizing ride-sharing or carpooling options for your wedding guests is another considerate way to ensure everyone can easily travel between their hotels and your venue. Start by identifying guests staying at the same hotel and encourage them to share rides. You can create a shared document or group chat where guests can coordinate transportation, matching those with cars to those who need a ride.

Clear communication is key, so give guests details well in advance, including pick-up and drop-off times and locations. It’s helpful, too, to designate a trusted friend or family member to help coordinate transportation for the night, especially if you do not have a designated wedding planner hired for to oversee those details.

Communicating to Family and Friends

With Darby House’s Overnight Car Policy that prevents cars from being left on the property overnight, we recommend displaying our verbiage on your wedding website or even wedding invitations to ensure that your guests take full advantage of the transportation you book:

“FAMILY / FRIENDS — please be aware that our venue is a private, gated estate and does not allow vehicles to be left on property at the conclusion of our reception.  To ensure everyone can enjoy our wedding day and get home safely, please plan your trip home by designating a sober driver or arranging an Uber to and from the venue.”

You can then add any special transportation or shuttle services you’ve arranged to be included in the above language!

By following these tips and using intentional communication and planning, transportation on the night of your wedding will be taken care of ahead of time, ensuring a safe and responsible end to your special day!
